Terms of Service

1. Agreement

These Terms of Service ("Terms") govern your access to and use of RecruiterStack, a credential expiration tracking and automated SMS reminder service operated by RecruiterStack LLC ("RecruiterStack," "we," "us," or "our"). By creating an account or using our service, you agree to these Terms. If you do not agree, do not use RecruiterStack.

2. What RecruiterStack Does

RecruiterStack is a software-as-a-service (SaaS) platform that helps healthcare staffing agencies and recruiters track credential expiration dates for their provider rosters and automatically send SMS reminders before credentials expire. The platform includes:

  • Provider credential tracking (license numbers, expiration dates, certification types)
  • Automated SMS chase sequences at 60, 30, and 7 days before expiration
  • A placement risk dashboard showing credential status across your roster
  • CSV import for provider roster setup

RecruiterStack does not provide job matching, resume storage, applicant tracking, interview scheduling, or any feature not described above.

3. Eligibility

You must be at least 18 years old and authorized to enter into binding contracts to use RecruiterStack. By using our service, you represent that you meet these requirements. RecruiterStack is intended for use by healthcare staffing agencies, recruiters, and credentialing coordinators in a professional capacity.

4. Accounts and Access

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to notify us immediately at [email protected] if you suspect unauthorized access to your account. We reserve the right to suspend or terminate accounts that violate these Terms.

5. Subscriptions and Billing

RecruiterStack is offered on a monthly subscription basis. Plans are billed monthly in advance. All plans include a 14-day free trial with no credit card required to start. After the trial period, continued use requires a valid payment method on file.

Current plan pricing:

  • Solo: $49/month — 1 recruiter, up to 50 providers
  • Agency: $99/month — up to 5 recruiters, up to 200 providers
  • Growth: $199/month — unlimited recruiters and providers

We reserve the right to change pricing with 30 days notice to active subscribers. Continued use after a price change constitutes acceptance of the new pricing.

6. Cancellation

You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period. We do not offer prorated refunds for partial billing periods. Upon cancellation, your account will be paused and your data will be retained for 90 days before permanent deletion, giving you time to export your information.

7. SMS Communications

RecruiterStack uses SMS to send automated credential expiration reminders to providers on your roster. By adding a provider's mobile number to your account, you represent that you have obtained appropriate consent from that provider to receive SMS messages from your agency via RecruiterStack. Message frequency varies based on credential expiration timelines. Standard message and data rates may apply. Recipients may reply STOP to unsubscribe or HELP for support.

You are solely responsible for ensuring that SMS messages sent through RecruiterStack comply with applicable laws, including the Telephone Consumer Protection Act (TCPA).

8. Data and Privacy

RecruiterStack stores credential metadata — license numbers, certification types, expiration dates, and provider contact information — to deliver its service. We do not store protected health information (PHI) as defined under HIPAA. Our Privacy Policy, available at getrecruiterstack.com/privacy, describes how we collect, use, and protect your data.

9. Acceptable Use

You agree not to use RecruiterStack to:

  • Send unsolicited or harassing messages to providers
  • Upload false, inaccurate, or fraudulent credential data
  • Attempt to gain unauthorized access to any part of the platform
  • Violate any applicable law or regulation
  • Resell or sublicense access to RecruiterStack without our written consent

10. Intellectual Property

RecruiterStack and all content, features, and functionality of the platform are owned by RecruiterStack LLC and protected by applicable intellectual property laws. You may not copy, modify, distribute, or create derivative works from any part of the platform without our express written consent.

Your data — including your provider roster and credential records — remains yours. We do not claim ownership of data you upload to RecruiterStack.

11. Disclaimers

RecruiterStack is provided "as is" without warranties of any kind, express or implied. We do not warrant that the service will be uninterrupted, error-free, or that all credential expiration reminders will be delivered. RecruiterStack is a tracking and reminder tool — it is not a substitute for your own credentialing verification processes. You remain responsible for verifying provider credentials before placement.

12. Limitation of Liability

To the maximum extent permitted by law, RecruiterStack LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including lost revenue or lost placements, arising from your use of or inability to use the service. Our total liability to you for any claim arising from these Terms or your use of RecruiterStack shall not exceed the amount you paid us in the three months preceding the claim.

13. Changes to These Terms

We may update these Terms from time to time. We will notify active subscribers of material changes by email at least 14 days before the changes take effect. Continued use of RecruiterStack after the effective date of updated Terms constitutes your acceptance of the changes.

14. Governing Law

These Terms are governed by the laws of the State of Texas, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved in the state or federal courts located in Dallas County, Texas.
