RecruiterStack LLC ("RecruiterStack," "we," "us," or "our") operates getrecruiterstack.com and the RecruiterStack credential tracking platform. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data. We take privacy seriously and do not sell your data to third parties.

2. What Data We Collect

Account data: When you create an account, we collect your name, work email address, and optionally your mobile phone number.

Provider credential data: To deliver our service, you upload and we store information about the healthcare providers on your roster, including their names, license numbers, certification types, expiration dates, and contact information (phone numbers for SMS delivery). This is credential metadata — not protected health information (PHI).

Usage data: We collect information about how you interact with the platform, including pages visited, features used, and actions taken. This helps us improve the product.

Payment data: Payment processing is handled by Stripe. We do not store your credit card number or banking information on our servers. Stripe's privacy policy governs how your payment data is handled.

Communications data: We log SMS messages sent through the platform for delivery tracking and compliance purposes.

3. What We Do Not Collect

RecruiterStack does not collect or store:

  • Protected health information (PHI) as defined under HIPAA
  • Patient records or clinical data of any kind
  • Social Security numbers
  • Resumes or employment applications
  • Financial account information (handled by Stripe)

4. How We Use Your Data

We use the data we collect to:

  • Deliver the RecruiterStack service — tracking credentials and sending SMS reminders
  • Manage your account and subscription
  • Send you product updates, billing notices, and support communications
  • Improve and develop the platform
  • Comply with legal obligations

We do not sell your data. We do not use your provider roster data for any purpose other than delivering the RecruiterStack service to you.

5. How We Share Your Data

We share data only with the third-party service providers necessary to operate RecruiterStack:

  • Twilio — SMS delivery. Provider phone numbers are transmitted to Twilio to send credential expiration reminders.
  • Stripe — Payment processing. Billing and payment data is handled by Stripe.
  • Neon / Vercel — Cloud infrastructure and database hosting. Your data is stored on encrypted servers in the United States.

We do not share your data with advertisers, data brokers, or any other third parties.

6. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest. Access to production data is restricted to authorized personnel only. While we take reasonable precautions, no system is completely secure. If you believe your account has been compromised, contact us immediately at [email protected].

7. HIPAA Compliance

RecruiterStack is designed to avoid storing protected health information (PHI). We store credential metadata — expiration dates, license numbers, certification types — which are operational records used by staffing agencies to manage provider compliance. This data is not PHI under HIPAA.

8. Data Retention

We retain your account and credential data for as long as your account is active. If you cancel your subscription, your data is retained for 90 days before permanent deletion, giving you time to export your records. You may request earlier deletion by contacting [email protected].

You have the right to:

  • Access the data we hold about you and your account
  • Correct inaccurate data
  • Request deletion of your data
  • Export your provider roster and credential data at any time
  • Opt out of non-essential communications

10. Cookies and Analytics

RecruiterStack uses Google Analytics 4 to understand how visitors use our website. This includes data on pages visited, time on site, and general geographic location. Google Analytics uses cookies to collect this information. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

We use Cloudflare for performance and security, which may process your IP address as part of its service.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active users of material changes by email before the changes take effect. Continued use of RecruiterStack after an updated policy takes effect constitutes your acceptance of the changes.
